OneMetric helped a growth marketing agency move its client’s CRM from Zoho to HubSpot, migrating 2,300 unique contacts, 2,000 companies and approximately 150 deals, with their associations and engagement history preserved.
The Problem: Moving Records Was Only Part of the Job
A growth marketing agency needed to migrate one of its clients from Zoho CRM to HubSpot. OneMetric supported the project as the agency’s white-label delivery partner, with the agency retaining ownership of the client relationship.
The client’s Zoho database contained 2,659 contacts, 2,455 companies and approximately 150 deals. Over time, duplicate contacts and company records without usable domains had accumulated.
Moving those records directly into HubSpot would have carried the same data problems into the new system.
The migration also needed to preserve the relationships behind the records. Contacts had to remain connected to the right companies. Deals needed links to their associated contacts and companies. Calls, emails, notes, tasks and meetings needed to appear on the correct contact timelines.
A successful migration meant giving the client a connected customer history in HubSpot, rather than a collection of imported records.
Where the Migration Could Go Wrong
Duplicate contacts could split a customer’s history across multiple records. Incomplete company data could make matching unreliable. Deals could arrive without their related contacts or companies, leaving the team to reconstruct the context manually.
The differences between Zoho’s modules and HubSpot’s objects added another layer of work. Fields and relationships needed to be mapped before the migration began.
The Shift: Clean the Data Before Moving It
OneMetric started by reviewing the client’s Zoho structure, including Accounts, Contacts, Deals, Activities and custom fields.
Zoho Accounts were mapped to HubSpot Companies, while Contacts and Deals were mapped to their corresponding objects. Where a source field had no native equivalent, custom properties were created in HubSpot.
This established where the data would live and how its relationships would be rebuilt.
Removing Duplicates and Resolving Company Data
Contact records were deduplicated using email addresses, reducing 2,659 source contacts to 2,300 unique contacts.
Company records were reviewed using domain data. Records without usable domains were addressed during cleanup, with 455 company records removed or merged. This left 2,000 companies ready for migration.
Cleaning the data first reduced the risk of carrying duplicate records and unreliable associations into HubSpot.
Migrating in the Right Order
Companies were imported first, followed by contacts and their company associations. Approximately 150 deals were then migrated and linked to the relevant contacts and companies.
Activities and meetings followed at the contact level, placing engagement history on the timelines the client’s team would use.
After import, OneMetric checked record associations and verified that activities and meetings appeared against the correct contacts.
The Impact
The client’s HubSpot database launched with 2,300 unique contacts and 2,000 cleaned company records.Approximately 150 deals were migrated with their contact and company associations. Activity history, including meetings, was preserved at the contact level.
For the agency, OneMetric handled the migration work behind the scenes while the agency continued to own the client relationship.
For the client, the result was a CRM where customer records, deal context and past interactions could be viewed together.
The Outcome
| Metric | Source in Zoho CRM | Delivered in HubSpot |
|---|---|---|
| Contacts | 2,659 records | 2,300 unique contacts |
| Companies | 2,455 records | 2,000 cleaned company records |
| Deals | Approximately 150 | Approximately 150 migrated |
| Record relationships | Existing Zoho associations | Contact, company and deal associations validated |
| Activity history | Activities and meetings in Zoho | Preserved on the relevant contact timelines |
The Numbers
The cleanup addresses359 duplicate contacts and 455 company record before migration.
Across contacts and companies, that means 814 fewer records entering HubSpot after deduplication, removal and merging.
The lower record count reflected the cleanup completed before import. It gave the client a more reliable starting point for reporting, segmentation and lead routing.
What Changed for the Client
Contacts were connected to their companies. Deals carried their related contact and company context. Past activities and meetings remained accessible on contact timelines.
The team could work from the migrated customer history without having to piece it together across disconnected records.
Why This Matters
CRM migration quality depends on more than matching record counts. A contact can arrive in HubSpot while losing its company association. A deal can retain its value and stage while losing the people connected to it. Activity records can be imported but become difficult to use if they sit against the wrong contact.
This project treated cleanup, mapping and association validation as part of the migration itself. That approach helped the agency deliver a connected HubSpot CRM for its client, supported by OneMetric’s white-label execution.
